Project One-Sheet
CRM & Back-Office Dashboard
Client: Pass The Sugar Teatime LLC (Adrienne Carter) — Derby, CT•Delivered: September 2026•Platform: Base44 (web, mobile-friendly, iPad-optimized)
A complete back-office portal that turns Pass The Sugar Teatime's booking inquiries into a managed customer journey — from first contact through consultation, proposal, booking, the event itself, and follow-up — with automated, on-brand email at every step. Built for a non-technical owner: everything runs from one dashboard with minimal data entry.
A single sign-in landing page that opens to a grid of management tools. Every admin page carries a "Back to Back Office" button so the owner never gets lost.
Bookings Calendar — Visual calendar of inquiries and events; confirm or change a booking's status in one tap.
Customers (CRM) — The customer list — every inquiry flows in automatically, no manual entry.
Sign-Up Sheet — iPad-friendly, tap-large event sign-up for in-person guest registration.
Documents — Centralized file storage for contracts, menus, and reference docs.
Reviews — Approve, reject, or delete customer-submitted testimonials.
Image Library — Upload and reuse site/gallery images without re-uploading.
Email Automation — The CRM email engine — templates, scheduling, history, journey, referral.
Every inquiry submitted on the public website is captured automatically into the CRM as a Contact with full inquiry details — the owner never copy-pastes. Each contact moves through a guided status pipeline:
New Inquiry → Consultation Requested → Consultation Scheduled → Consultation Completed → Proposal Sent → Awaiting Payment → Booked & Confirmed → Event Preparation → Event Completed → Survey Sent → Referral Invitation Sent → Closed or Not Booked
A hard rule enforces that the "Booked & Confirmed" email only sends after the contract is accepted and payment is received.
Brand-styled emails (burgundy, pale pink, butterfly signature) send automatically as each contact moves through the journey. No personalization placeholders are ever left blank — if a required field is missing, that line is removed or the send is aborted.
11 automated email types:
The Email control center lets the owner enable/disable any email, edit subject + body, preview the journey, view send history, and manage the referral program — all without technical knowledge. A background scheduler runs hourly to deliver timed emails on schedule.
Sender: sip@passthesugarteatime.com (never a no-reply address).•Signature: Warmly, Adrienne Carter — 203-551-4735 — www.passthesugarteatime.com, with a butterfly accent.
A self-manageable referral program page with an admin panel to configure the reward (type, amount, qualifying minimum, eligibility, expiration, redemption instructions, and terms). Referral invitations send automatically after events are completed.
A full multi-page, SEO-optimized site drives inquiries into the CRM:
✦Extreme simplicity — tap-friendly, plain language ("Customers," not "Contacts")
✦Automatic data flow — inquiries populate the CRM with zero manual entry
✦Admin notifications delivered to the owner's own inbox — no separate app account to babysit
✦Brand-consistent — burgundy/pink palette, serif headings, butterfly signature across all emails
Owner logs in at the app's login page and is routed straight to the Back Office. Non-admin visitors are kept out of all management tools by role-based access controls.
